Electronic Publishing of Dissertations at the Karolinska Institute

Ulf Kronman, The Karolinska Institute Library. 15 April 1998.

As from March 1998, doctoral theses announced for defend at the Karolinska Institute are published in the World Wide Web at the address http://diss.kib.ki.se/. The database contains summaries of KI dissertations from 1996 and onwards and will be a part of the SAFARI system for dissemination of research information to schools and other parts of the Swedish society.

Web-based Application Forms for Dissertation

Beginning in September 1998, graduate students applying for a doctor's degree at the Karolinska Institute will be able to use a web browser to connect to the library web server at http://diss.kib.ki.se and fill in application forms for dissertation. Data entered in the web forms will be input into a database and then presented on the screen as a series of pages to be printed and used for application. The application for dissertation will not yet be administered over the net, but the system will support such a procedure in the near future. Additional data, as social security number, have to be added to the printed application and it has to be signed by the student, the supervisor and the prefect.

At the time of the "spikning" ceremony, when a signed copy of the thesis is nailed to the wall in the library, the information the student entered at the time of the application will be made public by being moved to the public area of the database.

Thesis Frame Text in the World Wide Web

The KI library is running a pilot study on the possibilities to publish the full frame text of the thesis in the World Wide Web. The aim with this study is to gather experiences regarding input data, conversion methods and publishing routines for a future net-publishing of the dissertations.

Graduate students wishing to publish their theses in the World Wide Web may contact the KI library (see contact persons below). The thesis should be submitted to the library in electronic form, either with e-mail or on a diskette. There will be instructions for the submission of the theses and information regarding the different formats that can be accepted for conversion and publication on the web server.

As the electronic publishing of theses will be a part of a pilot study, the library will not be able to guarantee the quality of the result, especially regarding special images, chemical and mathematical characters and statistical formulas. During the test period, the conversion will be handled by the library staff as a part of the pilot study and therefore be free of charge for the student. However, the student will probably have to do some preparation of the data and spend some time on inspection and adjustments of the result.

Digital Originals and Print-on-demand

The final goal of the whole project is to establish a model for the publishing of digital dissertation originals in the World Wide Web. This model includes a service where printed copies of the thesis may be ordered over the web and produced on a print-on-demand basis.

When technical obstacles and uncertainties regarding copyright has been resolved, we foresee a new era for scientific publishing. Scientific articles on the net will give us a means to spread the information to a large audience in a matter of minutes and make it searchable and linkable to enhance its usability. We are hoping that the electronic publishing of dissertations will serve as a starting point for the Karolinska Institute's journey into this new era.
